Ask three caricature artists for a quote for the same sangeet and you may get three very different numbers. That is not because anyone is being unreasonable. A live caricature booking is really a bundle of time, skill, materials, travel and planning, and each of those moves independently. Once you understand what sits inside a quote, it becomes much easier to compare options fairly and to spend your budget where guests will actually feel it.
This guide walks through the factors we discuss with every client before quoting. We will not list rupee figures here, because they change with season, city and scope, but you will know exactly which questions to ask and which levers you can pull.
Hours on site are the biggest driver
Most live caricature work is booked in blocks of time. The number of hours an artist spends drawing is the single largest component of any quote, and it is usually priced with a minimum block, often two to three hours, because getting to the venue, setting up and packing down takes time regardless of how long the actual drawing lasts.
A few points worth knowing:
- Setup time is not drawing time. A professional artist will arrive 30 to 45 minutes before the start to set up the easel, check light and seating, and prepare paper or a tablet. Clarify whether that is included or billed separately.
- Overtime is normal at Indian events. Baraats run late, dinner gets pushed, the DJ stretches the dance floor. Ask upfront how extra hours are charged so there are no awkward conversations at midnight.
- Breaks matter. A four-hour booking with no break leads to tired hands and weaker drawings in the last hour. Good artists build a short break into longer slots.
Guest count and the number of artists
One artist drawing quick black-and-white faces can typically finish somewhere between 12 and 20 people an hour, depending on style and how many faces are in each sheet. If your guest list is 400 and you want a large share of them to leave with a drawing, a single artist simply cannot meet that demand in a three-hour window.
That is when a second or third artist enters the quote. Multiple artists cost more in total, but they shorten queues dramatically and keep the counter from becoming a bottleneck near the buffet. Our detailed guide on booking a caricature artist in Jaipur explains how we match artist numbers to guest lists.
Format: paper, colour or digital
The format you choose changes both the speed of drawing and the cost of materials.
Black-and-white on paper
The classic marker or pen drawing on quality card stock is the fastest format. It keeps throughput high and costs are mostly about the artist's time.
Coloured caricatures
Adding colour with markers or pastels makes each piece more vivid, but it also takes longer per guest. Fewer people get drawn per hour, so the effective cost per drawing rises.
Digital caricatures
Digital work on a tablet involves equipment, a printer on site if you want instant prints, photo paper and ink, plus sometimes a person to manage printing. You also get soft copies that can be shared, which some corporate clients value. The equipment and consumables are reflected in the quote.
Travel, stay and the destination factor
For an event within Jaipur city, travel is usually a small consideration. For a destination wedding in Udaipur, Jodhpur, Jaisalmer or a palace property outside the city, the quote has to account for travel time, fuel or tickets, and often an overnight stay. Multi-day weddings in another state may involve flights and meals as well.
A practical tip: if you are already booking other artists for the same destination wedding, ask whether they can travel together. Combining a caricature counter with something like a live portrait station can make travel more efficient for everyone.
Customisation and extras that add up
Beyond the core drawing, several small choices change the final number:
- Custom paper or frames. Printed sheets with the couple's monogram, the company logo or the event hashtag look great but involve design and printing.
- Themed backgrounds. A Rajasthani royal border or a Bollywood poster layout adds a few minutes per drawing.
- Pre-event commissions. A large caricature of the couple or the CEO, drawn from photos before the event, is separate studio work.
- Folders, sleeves or magnets. Protective sleeves help guests carry drawings home safely. Some hosts pair caricatures with custom fridge magnets as an extra takeaway.
Timing and season
Peak wedding dates in Rajasthan, especially from November to February and on auspicious muhurat dates, fill up quickly. Weekend evenings during this period are in high demand. Off-season dates, weekday corporate events and daytime functions such as haldi often have more flexibility. Booking early does not just secure the artist; it also gives you more room to adjust the scope without pressure.
How to compare quotes fairly
When you place two quotes side by side, check that they are describing the same thing. Ask each artist to confirm:
- Total drawing hours and the minimum booking block.
- Whether setup and travel time are included.
- Approximate guests per hour in the style you have chosen.
- Paper size, paper quality and whether sleeves are provided.
- Overtime terms and payment schedule.
- What happens if the event timing shifts on the day.
Also ask to see recent work, ideally from live events rather than studio pieces. Live drawings are faster and looser, and you want to know what guests will actually take home. A good portfolio of real event work tells you far more than polished studio samples.
Spending your budget wisely
If your budget is fixed, it is usually better to book the right number of hours at the busiest part of the event than to stretch one artist across an entire day. Cocktail hour and the period just before dinner tend to bring the most guests to the counter. A focused two-and-a-half-hour slot at the right moment often delivers more joy than five thin hours.
If you would like a quote built around your actual guest list and schedule, share your event details through our contact page and we will suggest a setup that fits.
