To work out how many caricature artists you need, estimate how many guests will actually want a drawing, divide by how many drawings one artist can complete per hour in your chosen style, and then divide by the number of hours you plan to run the counter. As a guide, one artist completes roughly 12 to 20 quick single-face drawings per hour, fewer for colour or full-body work. Most weddings and corporate events need one to three artists.
Booking too few artists leads to long queues and disappointed guests. Booking too many means artists waiting for customers. Getting it right is not complicated once you know the variables. This guide walks through a practical method.
Step 1: Estimate participation, not total guests
Not every guest will want a caricature. Some are busy greeting the couple, some are dancing, some simply prefer not to sit. Participation depends on the event:
- Intimate family functions such as mehendi or a baby shower: a large share of guests usually join in.
- Sangeet and cocktail evenings: participation is moderate, as many guests are on the dance floor.
- Large receptions: a smaller share participate, because guests come and go quickly.
- Corporate events and exhibitions: participation depends heavily on placement and promotion.
Rather than assuming everyone will queue, think realistically about who will come to the counter. If you want every guest drawn, for example as a return gift at a small event, plan for full coverage.
Step 2: Know the drawing speed for your style
| Style | Approximate time per drawing |
|---|---|
| Quick black-and-white single face | 3 to 5 minutes |
| Colour single face | 5 to 8 minutes |
| Full body with simple theme | 8 to 12 minutes |
| Couple or small group | Varies with number of faces |
| Digital single face | Similar to paper, depending on detail |
These are approximate and vary between artists. Ask your artist for their realistic pace in the style you have chosen, based on live events rather than studio work.
Step 3: Decide on counter hours
Guests do not arrive evenly. The busiest window at most Indian events is the hour or two before dinner. Running the counter for a focused period at peak time is usually better value than spreading it across the whole evening. Typical bookings run two to four hours, with a minimum block because of setup and travel.
Step 4: Do the simple calculation
Here is the formula:
Artists needed = expected drawings ÷ (drawings per hour × hours)
Example: You expect around 120 guests to want a drawing. The artist completes about 15 quick drawings per hour. You plan a three-hour counter. One artist completes about 45 drawings in that time, so 120 ÷ 45 gives roughly 2.7. You would book three artists, or two artists with group drawings to stretch coverage.
Ways to cover more guests without more artists
- Group drawings. Couples and families together on one sheet cover several people at once.
- Simpler style. Switching from colour to black-and-white speeds things up noticeably.
- Head-and-shoulders instead of full body. Themed bodies look great but take longer.
- Token or name list system. Guests leave their name and return when called, so the artist never waits between sitters.
- Extend hours. If budget allows, one more hour can be cheaper than an extra artist.
When multiple artists make sense
Booking two or three artists is common for:
- Weddings with several hundred guests where caricatures are a highlight.
- Corporate events where every employee should be drawn.
- Exhibitions and brand activations with heavy footfall.
- Events with a short window, such as a one-hour cocktail before a show.
Multiple artists also create a livelier atmosphere. Several easels side by side become a visible attraction that draws guests over. Make sure the venue provides enough space and seating, as each artist needs their own table and guest chairs.
Mixing caricatures with other stations
Another way to spread demand is to offer more than one activity. A caricature counter alongside a glitter tattoo artist or a magic portrait artist gives guests choice and shortens queues at each station. This works especially well at large weddings in Jaipur, Delhi and Mumbai where guest lists run into the hundreds.
Signs you have booked too few artists
- Queues of more than 15 to 20 people for long stretches.
- Guests leaving the queue disappointed.
- The artist rushing and quality dropping.
- Pressure to extend hours at the last minute.
If in doubt, discuss your guest list and schedule with the artist beforehand. An experienced artist will tell you honestly whether one person can manage. Our caricature artist in Jaipur page has more on how we plan counters.
Quick reference by event size
These rough starting points assume quick single-face drawings over a two to three hour peak window. Adjust for your style and participation level.
| Expected drawings | Typical setup |
|---|---|
| Up to about 50 | One artist |
| About 50 to 100 | One artist for longer hours, or two artists |
| About 100 to 150 | Two to three artists |
| More than 150 | Three or more artists, plus group drawings |
Remember that these figures are for drawings, not total guests. A reception of 600 people may only produce 100 to 150 drawings if the counter runs for a few hours.
If your numbers fall between two rows, lean towards the larger setup for weddings, where queues are more visible and guests less patient late in the evening, and the smaller setup for relaxed daytime functions.
Frequently asked questions
How many guests can one caricature artist draw at a wedding?
Roughly 12 to 20 quick single-face drawings per hour, depending on style. Over a three-hour session, that is a few dozen drawings, more if guests sit in groups.
Is it better to book more artists or more hours?
If guests arrive in a short peak window, more artists help. If guests drift in steadily over a long evening, more hours with fewer artists may be better value.
Do group caricatures take much longer?
Each extra face adds time, but a group of four on one sheet is still quicker than four separate drawings, so groups improve overall coverage.
