For a planner or venue team, a magic portrait reveal is a small segment with outsized expectations. The family has seen the reels, the photographer wants a perfect angle, and the reveal may involve water, turmeric or paint near expensive décor. A few minutes of planning prevents most issues. This checklist covers what to sort out before, during and after the reveal so it goes smoothly every time.
Placement and visibility
The reveal only works if people can see it. Choose the location with the audience in mind.
- Clear sightlines: place the easel where most guests can see without standing on chairs. Near the stage or ritual area usually works best.
- Height: raise the board so its lower edge is above the heads of the front row, or let guests gather in a semicircle.
- Background: avoid busy backgrounds such as patterned drapes directly behind the board, which make the image harder to read in photos.
- Space around it: leave room for the people performing the reveal and for the photographer to move.
- Stability: use a heavy, sturdy easel or a secured stand, especially outdoors where wind is a factor.
Protecting the venue and the décor
Water and turmeric reveals can splash. Paint-based performances can drip. Venue teams appreciate being told in advance.
- Lay waterproof sheets or drop cloths under and around the easel.
- Move delicate décor, such as floral arrangements, fabric drapes and rugs, a safe distance away.
- For marble and light-coloured stone, use extra protection, since turmeric stains are stubborn.
- Keep electrical equipment, including speakers, lights and cables, well away from the splash zone.
- Have towels and a small cleaning kit ready for immediately after the reveal.
Confirm venue rules in writing. Some heritage properties have strict policies about colour and water on certain surfaces, and it is better to know early.
Share the reveal plan with the venue's housekeeping team as well as the events manager. They are the ones who will clean up afterwards, and a heads-up means they can have the right supplies ready nearby rather than discovering turmeric on the floor at the end of the night.
Lighting, sound and cues
Lighting
For day functions, keep the board in open shade rather than direct sun. Bright sunlight can cause glare in photos and may affect some prepared surfaces. For evening events, ensure the board is lit with a neutral, even light. Coloured stage washes in pink or blue distort the colours of the portrait and make faces harder to recognise.
Sound and anchoring
A reveal is stronger with a short build-up. Arrange a microphone for the anchor or a family member to gather guests. For performance-style reveals, coordinate the music track with the DJ in advance, including when it should start and stop.
Cueing
Put the reveal in the run sheet with a clear cue, such as after the couple's entry or once the first haldi ritual is complete. Make sure the artist, anchor, DJ, photographer and family coordinator all have the same version.
Build a small buffer around the cue. If the reveal is scheduled for a specific time, ask the artist to be fully set up at least thirty minutes earlier, so a function that suddenly runs ahead of schedule does not catch anyone unprepared.
Photography and video
The reveal will be shared widely, so plan for great coverage.
- Brief the photographer and videographer on the exact location and timing.
- Agree on one wide angle showing the board and crowd, and one closer angle on the couple's reactions.
- Ask guests in front to lower their phones briefly if they block the main camera.
- Consider a short pause after the reveal so the couple can pose with the portrait.
Weather and backup plans
Outdoor haldi and mehendi functions in Rajasthan are usually sunny, but wind, unseasonal rain or dust storms happen. Identify a covered backup location close to the main area, such as a verandah, a tent or an indoor hall. Keep the board covered and protected until the last moment. Discuss with the artist how their specific reveal is affected by humidity or heat, and agree in advance who makes the call to move indoors.
Every successful reveal has one owner on the planning team. They hold the cue, check the board and bring the right people to the easel at the right time.
After the reveal
Once the moment is over, the portrait needs a safe place. Designate a shaded, low-traffic spot where it can rest and dry without being knocked over or touched. Mark it clearly so staff and decorators do not move it during breakdown. Confirm who will collect it, and when. If the family is leaving for another function, arrange for it to be packed and transported safely.
When other art stations are running at the same event, such as nail art or glitter tattoos, keep them clear of the reveal zone so queues do not block sightlines. For more support, our magic portrait team in Jaipur can share a simple layout and run-sheet note for your venue.
