Questions to Ask Before Hiring a Live Event Painter

Not every great painter is a great live painter. These questions help you judge experience, style, process and terms before you trust someone with your big day.

Painting in a quiet studio and painting live in the middle of a noisy, crowded Indian wedding are very different skills. A talented studio artist may struggle with moving subjects, changing light and the pressure of guests watching over their shoulder. A seasoned live painter, on the other hand, thrives on it. Because you get only one chance to capture your moment, it is worth asking the right questions before you book. Here are the ones that genuinely reveal whether an artist is right for your event.

About experience

How many live events have you painted?

You are not looking for a particular number, but for real, recent experience painting at events similar to yours. Ask for examples from weddings or corporate events, ideally with photos of the artist working on site, not just the finished canvas.

Have you worked at venues like ours?

Heritage havelis, palace hotels, lawn venues, banquet halls and desert camps each bring different challenges in light, space and access. An artist who has painted in similar settings will anticipate problems before they arise.

How do you handle night ceremonies?

Many Indian weddings place the pheras late at night. Ask how the artist manages low light, what lighting they bring and how they keep colours accurate.

About style and outcome

How would you describe your style?

Some painters work loosely and impressionistically, focusing on light and mood. Others aim for detailed realism. Both are valid, but you need to choose the one that matches your taste. Look at several finished pieces side by side.

How recognisable will faces be?

This is the question couples most often forget to ask, and the one that causes the most disappointment later. An honest artist will explain what level of likeness to expect, which faces they will refine with reference photos, and how much detail is realistic for guests in the background.

Can you include people who are not present?

If you want to include a late grandparent, a relative abroad or a pet, ask whether the artist does this and what photos they need.

About process

  • How early do you arrive? One to two hours before the chosen moment is typical.
  • What space and setup do you need? Expect questions about easel position, drop cloth, lighting and power.
  • How much is painted live versus finished later? Most live paintings get some studio refinement. Understand the balance.
  • Will you coordinate with our photographer? A good artist will want to talk to them before the day.
  • Can the couple or guests add a brushstroke? Some artists offer this as a symbolic moment.

You can read about our own process on the live painting artist page.

About materials and finishing

Which medium do you recommend for our event?

Acrylic is common for live events because it dries quickly. Oil offers rich blending but needs long drying. Watercolour suits some styles but needs glass framing. Ask why the artist recommends one over another for your situation.

Is varnishing included?

Varnish protects the painting for the long term. Know whether it is applied, and when.

Is framing included, and what options do you offer?

Some artists deliver ready-to-hang framed pieces; others deliver the stretched canvas only.

About timelines and delivery

  1. How long after the event will the finished painting be ready?
  2. Will you share a photo for approval before final delivery?
  3. How will the painting be packed and delivered, especially to another city?
  4. Who is responsible if it is damaged in transit?

About terms and contingencies

  • What does the quote include? Hours, canvas size, medium, finishing, varnish, framing, travel and delivery.
  • What is the payment schedule? Advance to block the date, balance before or after delivery.
  • What happens if our date or venue changes? Understand rescheduling terms.
  • What if you are unwell on the day? Studios with more than one artist can often provide a backup; independent artists may not.
  • Can you share the painting on social media? Some families prefer privacy. Agree on this upfront.

Questions about your involvement

It is also worth asking what the artist needs from you. Some painters want a detailed brief and many reference photos; others prefer to work more intuitively. Ask whether they would like a short call a week before the event, whether they want to see the decor plan, and who they should speak to on the day. Knowing this in advance keeps you from being pulled away from your own celebration with questions you could have answered earlier.

Reading between the lines

Pay attention to how the artist responds, not just what they say. Do they ask about your story, your venue and the moment that matters most to you? Do they set honest expectations rather than promising perfection? Are they responsive and organised? These qualities matter as much as brush skill, because you are trusting this person with an irreplaceable moment.

Considering other live art too?

Many of the same questions apply when booking a live portrait artist or other event artists. Asking them consistently makes comparison easier.
